Q & A

Do I need a Visa to enter Romania?
Citizens of the EU/EEA do not need a visa to enter Romania. If you are joining us from outside the EU, please check the official Romanian Ministry of Foreign Affairs website for specific requirements. Once you are accepted, the Organizing Committee can provide official invitation letters to support your visa application.
What is the participation fee and what does it cover?
The participation fee is 140€ (approx. 715 RON). This fee covers 6 nights of accommodation (April 20th – April 26th, 2026) and every meal, including the welcome dinner. Please note that the payment must be made in RON (715 RON).
What is the cancellation and refund policy?
If you are unable to attend, you must send an email to the Organizing Committee. The cancellation fee depends strictly on the date of notification:
  • Before 23/02/2026: 0% Cancellation Fee
  • 24/02/2026 – 03/03/2026: 25% Fee (35€)
  • 04/03/2026 – 11/03/2026: 50% Fee (70€)
  • 12/03/2026 – 22/03/2026: 75% Fee (105€)
  • From 23/03/2026 onwards: 100% Fee (No Refund)
Is transportation from the airport included?
Travel expenses to Bucharest must be arranged and paid for by the participants. While we do not provide a personal shuttle service for every attendee, getting to the city is easy. We recommend taking the train from Henri Coandă International Airport (OTP) to Gara de Nord (North Railway Station), which is located very close to the accommodation area. Ridesharing apps (Uber, Bolt) are also widely available and affordable.
Can I stay extra days?
EUROAVIA Bucharest does not provide accommodation outside of the official event dates (20–26 April). However, if you wish to arrive earlier or stay later to explore the city, the Organizing Committee can assist you with recommendations for finding proper accommodation.
How are participants selected?
Selection is carried out following the priority list given by your Local Group (AS/PAS/WG). During the application rounds, your local board will confirm your active membership. If the Quorum is not reached after the first round, acceptance will follow the "first-come, first-served" basis according to these priority lists.
What currency is used in Romania?
The official currency is the Romanian Leu (RON). While some prices might be displayed in Euros for reference, daily payments in shops, restaurants, and transport are made in RON. Card payments are widely accepted in Bucharest, but we recommend carrying some cash for small vendors. Note that the congress fee payment must be made specifically in RON.
What if I am accepted from the waiting list?
If a spot becomes available and you are admitted from the waiting list, you have a special grace period. You can cancel within one (1) week of receiving your acceptance email without paying any cancellation fee. After this week passes, the standard cancellation fee schedule applies.
What is the weather like in Bucharest in April?
April in Bucharest is generally pleasant, with spring in full effect. Temperatures typically range between 10°C and 18°C (50°F - 64°F). However, evenings can be crisp and occasional rain showers are possible, so bringing a light jacket and an umbrella is recommended.
Do I need a specific power adapter?
Romania uses the standard European Type F plugs (2-pin, grounded) with a standard voltage of 230V. If you are coming from outside continental Europe, please ensure you bring a suitable adapter.
